Tired of Playing “Whack-A-Mole”?

The Eisenhower Decision Matrix, also known as the Eisenhower Box, is a tool for organizing and prioritizing tasks based on their urgency and importance. 

I have routinely used this tool over the years to ensure that I am focusing on the right priorities.  Too often I hear business owners/managers doing $25/hr tasks or find them chasing “squirrels” constantly.

This matrix helps in decision-making by categorizing tasks into four quadrants, enabling individuals or businesses to focus on what truly matters

The examples listed below are designed to make you realize that some tasks should be DELEGATED or DELETED right away.  Don’t make excuses!

1. Quadrant Definitions:

  • Quadrant 1: Important and Urgent (Do)
    • Tasks that require immediate attention and have significant consequences if not completed promptly.
  • Quadrant 2: Important but Not Urgent (Decide)
    • Tasks that are important for long-term goals but do not require immediate action.
  • Quadrant 3: Not Important but Urgent (Delegate)
    • Tasks that need to be completed now but are less important; these can often be delegated.
  • Quadrant 4: Not Important and Not Urgent (Delete)
    • Tasks that neither advance business goals nor are time-sensitive; these should be minimized or eliminated

2. Examples for Contractors:

  • Quadrant 1: Important and Urgent
    • Completing projects by the deadline to avoid penalties or losing money (going over time)
    • Addressing safety issues on the job site immediately.
    • Responding to weather-related emergencies that could impact the project.
    • Dealing with Employee issues that are affecting culture and producing negativity.
    • Quickly resolving any issues or complaints from clients to maintain reputation and client satisfaction.
  • Quadrant 2: Important but Not Urgent
    • Planning and designing future projects or bids.
    • Evaluating business performance mid-season to adjust strategies for the remainder of the busy period or to plan for the upcoming seasons.
    • Training employees on new technologies or safety protocols.
    • Maintaining and servicing equipment to prevent future breakdowns.
  • Quadrant 3: Not Important but Urgent
    • Handling routine administrative tasks like bookkeeping, answering phones or managing schedules; these can be outsourced or delegated
    • Ordering supplies needed for immediate projects. While urgent, this can often be streamlined or delegated to ensure efficiency.
  • Quadrant 4: Not Important and Not Urgent
    • Avoiding meetings or activities that do not directly contribute to the productivity or revenue of the busy season.
    • Reading non-essential emails or attending industry meetings that do not directly benefit current projects.  STOP being cc’d on emails!
    • Sorting through old inventory that isn’t required for upcoming projects.

Benefits for a Contractors During Busy Season

  • Optimal Resource Allocation: By focusing on urgent and important tasks, the company ensures that all resources are allocated where they are most needed, enhancing productivity.
  • Improved Project Delivery: Prioritizing important tasks helps meet project deadlines with higher quality results, enhancing customer satisfaction.
  • Efficient Operations: Delegating less critical, urgent tasks and eliminating non-essential activities helps streamline operations, allowing the team to focus on delivering exceptional landscaping services.
  • Strategic Focus: Maintaining attention on important, non-urgent activities, like training and long-term planning, ensures the company is well-positioned for future growth beyond the busy season.

At the end of the day, if you are always “fighting fires” or playing the  “whack-a-mole game”, then you need to STOP and start asking yourself some questions.   

  • Why is this happening? 
  • How long has this been going on? 
  • Do I like working like this? 
  • Do I really want it to stop or be different? 
  • I am I interested in hear about “another way”?
